1. Who we are
ChauffeurHQ is developed and operated by Beewest IT Consultancy Pty Ltd (ABN 31 616 435 468), Perth, Western Australia ("Beewest", "we", "us").
This policy covers:
- ChauffeurHQ, the passenger app for Android and iOS
- ChauffeurHQ Driver, the driver app for Android and iOS
- ChauffeurHQ Booking (booking.chauffeurhq.au), the website passengers use to book and track trips
- ChauffeurHQ Office (office.chauffeurhq.au), the website chauffeur companies use to run their business
ChauffeurHQ is used by chauffeur and limousine companies ("operators"). When you book a trip, or drive for an operator, that operator decides how your trip and booking information is used for their business. We provide and run the platform on their behalf. If you have questions about how an operator handles your information, you can contact them directly or contact us.
We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
2. What we collect
Account information (all apps)
- Your name and email address.
- If you sign in with Google or Apple, an identifier from that provider, plus the name and email it shares with us. If you choose Apple's "Hide My Email", we receive a private relay address instead of your real one.
- Which operator(s) you belong to, and your role: passenger, driver, manager or administrator.
We do not receive or store your Google or Apple password.
Passengers
- Booking details: pickup and drop-off addresses, any stops, date and time, number of passengers, flight numbers and times, and notes you add.
- Trip status and history, and the price of the trip where the operator shows it.
- Contact details you or the operator add to your booking or customer profile.
- When you search for an address, the text you type is sent to an address-lookup service (see Service providers) to suggest matching places.
The passenger app and the booking website do not access your device's location.
Drivers
- The jobs assigned to you and the status updates you make (for example "on the way" or "passenger on board").
- Vehicle safety check records you complete.
- Your phone number, if your operator adds it, so passengers can call you during a live trip.
- The vehicle's location while you have tracking turned on for a job (see Location data).
Operators and their staff (ChauffeurHQ Office)
Business records the operator enters: customers, drivers, vehicles, jobs, invoices, payment methods and reports. If the operator connects MYOB, invoice and customer data is exchanged with their MYOB account.
Device information
- A push notification token, so we can send you notifications about your trips or jobs.
- The app version, to help us support you.
On the ChauffeurHQ Booking and ChauffeurHQ Office websites, your browser stores your sign-in session and a few settings, such as which company you're booking with or working in, so you don't have to choose again. These are only used to run the website, not for tracking or advertising.
What we don't collect
The ChauffeurHQ apps and websites contain no advertising, and no third-party analytics or advertising trackers. We do not sell personal information or use it for advertising.
3. Location data
Only the ChauffeurHQ Driver app uses location, and only while the driver has turned on tracking for a job.
- While tracking is on, the app shares the vehicle's precise location, heading and speed. This continues if the driver switches to a navigation app or the screen turns off. On Android a notification stays visible while tracking is active.
- Tracking stops when the driver turns it off, or when the job moves to a status that doesn't need tracking.
- We store only the latest position, and each update overwrites the last one. We do not keep a history of where the vehicle has been.
- After tracking stops, the last position stays visible, marked as no longer live, until the job ends. When the job is finished or cancelled, it is deleted.
- The position is visible to the operator's staff, and to the passenger of that job while the trip is live.
Drivers can deny or withdraw location permission at any time in their device settings. Live tracking then won't work, but the rest of the app will.
4. How we use your information
- To create and secure your account, and confirm your email address.
- To take bookings, assign them to drivers and show trip progress.
- To show passengers where their vehicle is during a live trip.
- To send notifications about new, changed or cancelled trips and jobs.
- So operators can invoice, report (including reports required by transport regulators) and run their business.
- To provide support, fix problems, and keep the service secure.
- To meet our legal obligations.
6. Service providers and overseas storage
We use these providers to run ChauffeurHQ:

When your device loads maps or address suggestions, these providers receive your device's IP address and the map area or search text requested.
Because some of these providers store or process information outside Australia, your information may be disclosed overseas. We choose providers with strong security and privacy commitments, and we only share what each one needs.
7. How long we keep information
- Accounts are kept until you delete your account, or until the operator removes you.
- Live vehicle location is overwritten with each update, no history is kept, and the last position is deleted when the job ends.
- Bookings, trips, invoices and safety-check records are business records of the operator. They are kept for as long as the operator needs them, including to meet tax, accounting and transport record-keeping laws (for example, Australian tax law generally requires records to be kept for five years).
8. Deleting your account
In the app: open ChauffeurHQ or ChauffeurHQ Driver, go to Account, and tap Delete account. Your account is deleted straight away.
Without the app (for example, if you only use the booking website): email info@beewest.au from the email address on your account, with the subject "Account deletion". We'll confirm it's you and delete your account within 30 days.
What gets deleted
- Your sign-in accounts, including email and password, Google and Apple sign-in.
- Your name and email on your user record (your name is replaced with "Deleted user").
- Your links to any operators, and all your roles.
- Your push notification tokens.
What is kept
Past trips, jobs, invoices and safety-check records stay with the operator as business records (see How long we keep information), but they no longer show your name. One account is used across all ChauffeurHQ apps and websites, so deleting it removes your access everywhere.
9. Your rights
You can ask us for access to the personal information we hold about you, or ask us to correct it, by emailing info@beewest.au. We'll respond within 30 days. You can also ask your operator directly.
If you have a privacy complaint, contact us first and we'll try to resolve it. If you're not satisfied with our response, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
10. Security
All data is encrypted in transit using HTTPS/TLS. Access is controlled by role, so drivers, passengers and staff only see what their role needs. Sign-in is handled by Firebase Authentication, and we never see your Google or Apple password. No system is perfectly secure, but we take reasonable steps to protect your information from misuse, loss and unauthorised access.
11. Children
ChauffeurHQ is not directed at children under 16, and we don't knowingly collect personal information from them. A parent or guardian may book a trip on behalf of a child.
12. Changes to this policy
We may update this policy as ChauffeurHQ changes. We'll update the date at the top, and for significant changes we'll take reasonable steps to let you know, for example in the app.
